|Minimum Qualifications||Department of Health employee with permanent or contingent-permanent status as an AA, G-18 OR Department of Health or other New York State employee with one year of service in a Grade 18 title or currently serving in an Administrative traineeship and eligible for transfer to AA trainee under Section 52.6 of the Civil Service Law OR current Department of Health or other New York State employee with one year of service in a qualified title and eligible for transfer to AA trainee under Section 70.1 of the Civil Service Law OR current Department of Health or other New York State employee with one year of service in a title G-11 or above, possessing a Bachelors degree and eligible to transfer to AA trainee under Section 70.4 of the Civil Service Law.|
|Preferred Qualifications||Professional work experience in the administrative support of a large, multi-faceted public health program with excellent communication, analytical and organizational skills and a strong command of technology solutions that support efficient office operations; the ability to work independently and handle multiple priorities; supervisory experience.|
|Responsibilities||The AA will assist Division leadership and staff in a wide range of professional administrative activities to support critical nutrition program initiatives. Duties include developing expertise in processes related to travel, purchasing, procurements and personnel; monitoring changes to these processes; communicating changes to those impacted; and verifying adherence to standards; developing and maintaining tracking systems to collect and analyze information to be used to develop recommendations and responses to executive level requests; monitoring information in a central fiscal/purchasing database and personnel/operations database to maintain accuracy and accessibility; monitoring the status of procurements, contracts, MOUs, etc., and conducting appropriate follow up activities; employee service related activities that include maintaining a staff roster and organizational charts for the 300+ Division employees across 4 Bureaus and 2 Support units and coordinating TDS code reconciliations and HBITS/Temp Staff cost allocations; assisting with recruitment activities including waiver requests, funding realignments, reclassifications, staff on boarding, orientation and space planning; serving as primary or secondary liaison with external control units such as telecommunications, Center for Community Health, Business Services Center, Travel, Agency Buy Desk, ITS, School of Public Health, etc; assisting with coordinating strategic planning, performance improvement, executive presentations, and other program initiatives.|
|Conditions of Employment||Permanent, full time. Occasional travel, including overnights and travel to areas that may not be served by public transportation is required.|
