SUBJECT: Eligibility for Payment Based on License/Registration Status

The federal regulations governing the Child and Adult Care Food Program (CACFP) state that each day care center (including school-age child care programs) is eligible for reimbursement only when there is a current day care license, registration, or the center is following the renewal procedures as outlined by the licensing agency.

It is the responsibility of a Sponsoring Organization to have on file with CACFP either a current license, registration, or documentation from the licensing agency that the center is in the renewal process. This information should be kept up-to-date every month that a center is participating in the Program.

CACFP cannot reimburse meals without either a photocopy of a current license, registration, or documentation from the licensing agency that the program is in the renewal process. Payment will be processed for the month in which the day care license or registration expires.

CACFP encourages Sponsors to have day care centers begin the renewal process before their current license/registration expires. In order to prevent any delay or denial of reimbursement, CACFP must receive a new license, registration, or documentation that a center is in the renewal process before the end of the month following the expiration of their license/registration.
