Submission Reports
The update cycle to post edited data onto the master files is done within the first two weeks of each month for current data years and less frequently for prior data years. Prior data years are updated when there are at least 100 transactions to be merged, or if there is a program need to update the files. The date each report is updated can be found in the upper left corner of each Submission Report.
Audit Reports
Audit Reports summarize the number of inpatient, outpatient and emergency department encounters on the SPARCS UDS Master File. Audit Reports are organized by Discharge Year/State Region/Facility Identification Number/Discharge Month and are updated monthly, provided there are sufficient transactions.
Submission History Reports
Submission History Reports tally the number of inpatient discharges and outpatient stays submitted to SPARCS, the number of errors and exceptions encountered, and the number of errors and exceptions still outstanding (unresolved). Submission History Reports are organized by Discharge Year/Facility Identification Number/Discharge Month and are updated monthly along with the Audit Reports. Facility Administrators: If the number of patients in the 'Master' column is what is expected, then the values in the other columns are irrelevant. If the number of patients in the 'Master' column is NOT what is expected, then the values in the other columns can be used as a guide to help determine the cause of the discrepancy.
Outpatient Data Type Reports
Outpatient Data Type Reports divide the accepted outpatient stays into the three data types collected by SPARCS: Ambulatory Surgery (AS), Emergency Department (ED) and Expanded Outpatient Data (OP) based upon the edits required for each data type.
Emergency Department Reports
The Emergency Department Reports detail the number of records that were submitted on the inpatient and outpatient file for each facility that contained a revenue code with a value defined as emergency (045x). The outpatient file is further divided by the types of data submitted on the file: Ambulatory Surgery and Emergency Department.
